Course enrollment

Note: This page is about adding (enrolling) users to courses. If the users do not already have accounts on the LMS site, then you need first to read the page Add users.

Add users/students

The process of adding users to courses is called Enrollment. This is different from adding users to the site, which is known as Authentication. There are various methods of enrolling users into courses, once they have logged in to LMS.

An instructor can view, activate, add and remove the enrollment methods within their course from the Enrollment methods link accessed either from the gear menu in the nav drawer Participants link, or from the More link in the course gear menu. It may also be the case that the users are automatically enrolled into the course by an administrative process, and the instructor does not need to do anything.

Overview of course enrollment

Users enroll themselves

If Self enrollment is enabled then users can sign up to courses themselves. The instructor can restrict enrollment to those who have been given an Enrollment key and, if needed, a staff member may be given the Keyholder role to manage enrollment keys.

Instructors manually enroll users

If Manual enrollment is enabled (and it usually is) then instructors may add users to their course from the nav drawer Participants link by clicking ‘Enrolled users’ in the gear menu.

Allowing guests into a course

Guests may be allowed to view course contents, but not participate in them, if Guest access is enabled. To find out exactly what guests may and may not do in a course, see the page Guest role.

Adding users in bulk

    1. When using Manual enrollment, the instructor may select and enroll several users at once.
    2. An administrator can enroll users in bulk into a course with a CSV file. See Bulk enrollments.

    1. Cohorts, that is, site or category-wide batches of users, may be added to courses using the Cohort sync enrollment method. Note that cohorts must first exist on the site.

Course enrolment confirmation method –

About Course Enroll Confirmation:

  1. The enrolment plugin “enrol on approval” adds an approval step into the course enrolment process.
  2. Users will be informed by mail as soon as their course application has been approved/ rejected and Defer (On Hold.).

Linked courses

The Course meta link enrollment method allows users who are in another course to be automatically enrolled in your course as well. An example might be if an LMS site has a course for “Staff Only” and a course for “LMS Help”. If the “Staff Only” course is added to the “LMS Help” course with the course meta link plugin, then every time a new member of staff joins the “Staff Only” course, they will automatically be enrolled in the “LMS Help” course too.

Instructors can only select from courses in which they are instructors when using this method.

Paying for courses

  • If the administrator has enabled the Paypal enrollment method site-wide and enabled it in courses, then the instructor can set a price for a course.
  • Note that users still need to have accounts in the site before they can pay for a course.
  • Be careful also if you have Self-enrollment enabled on your course as well as Paypal; if you don’t set an enrollment key with the Self-enrollment method, then users could access the course without paying.
